Steps to Authenticate ORCID iDs
The following instructions may be followed by authors to authenticate ORCID iDs, update author information, and manage co-author details in the OJS submission system of Rheedea.
Authenticating ORCID iDs in OJS Profile
Step 1. Login to the OJS Account
- Visit the journal website and login using your username and password.
Step 2. Open User Profile
- Click on your profile icon or username at the top right corner of the dashboard.
- Select “View Profile” or “Edit Profile”.
Step 3. Locate the ORCID Section
- In the profile page, locate the ORCID iD field.
- If an ORCID iD has already been entered manually, it may still require authentication.
Step 4. Click “Create or Connect Your ORCID iD”
- Click:
- “Create or Connect Your ORCID iD”
- or “Authenticate ORCID” (depending on the OJS version).
Step 5. Sign in to ORCID
- You will be redirected to the official ORCID login page.
- Login using your ORCID credentials.
- If you do not have an ORCID iD, create one through the official ORCID website.
Step 6. Authorize Access
- Click “Authorize” to allow the OJS system to connect with your ORCID account.
Step 7. Return to OJS
- After successful authorization, you will automatically return to the journal dashboard.
- Your authenticated ORCID iD will now appear in your profile.
Step 8. Save Changes
- Click “Save” or “Update Profile”.
Editing ORCID iDs in an already submitted manuscript
Step 1. Open the Submission
- Login to your OJS dashboard.
- Open the submitted manuscript from the active submissions list.
Step 2. Go to the “Publication” Section
- From the left-side panel, click “Publication”.
Step 3. Open Contributors / Authors
- Locate the Contributors or Authors section.
Step 4. Edit Author Details
- Click “Edit” beside the author name whose ORCID iD needs to be updated.
Step 5. Add or Correct ORCID iD
- Enter the correct ORCID iD in the ORCID field.
- Ensure that the ORCID is entered in the proper format
(e.g., https://orcid.org/0000-0000-0000-0000).
Step 6. Authenticate the ORCID iD
- If the system displays the option:
- click “Authenticate ORCID” or
- “Connect ORCID iD”.
- Login through the ORCID website and authorize access.
Step 7. Save the Metadata
- Click “Save” after updating the ORCID details.
Updating Co-authors in OJS Submission
Step 1. Open the Submission
- Login to the OJS dashboard.
- Click on the active submission you wish to edit.
Step 2. Go to the “Publication” Tab
- Open the Publication section from the left panel.
Step 3. Open Contributors / Authors Section
- Locate the Contributors or Authors section.
Step 4. Add a New Co-author
- Click “Add Contributor” or “Add Author”.
- Enter the following details:
- Full name
- Email address
- Affiliation
- Country
- ORCID iD (if available)
- Role (Author / Co-author)
Step 5. Edit Existing Author Details
- To edit an author:
- Click the “Edit” option beside the author name.
- Update affiliation, email, ORCID, or author order as required.
- Email ID is essential to authenticate the ORCID
Step 6. Select ORCID Authorization
- Click the radio button:
- “Send e-mail to request ORCID authorization from contributor.”
Step 7. Save Contributor Information
- Click “Save” after completing the author details.
Step 8. Notify the Co-author to Authenticate the ORCID iD
- An email containing an authentication link will be sent to the co-author.
- Ask the co-author to authenticate the ORCID iD using the provided link and their ORCID credentials.
- The ORCID iD will be authenticated after successful login and authorization.
Important Notes
- Merely entering an ORCID number manually does not authenticate the ORCID iD.
- ORCID authentication must be completed through direct authorization from the ORCID website.
- All authors are requested to authenticate their ORCID iDs before final publication.
- Changes in authorship after peer review may require editorial approval and consent from all authors.
- Incomplete metadata or unauthenticated ORCID iDs may delay final publication processing.
